Privacy Policy
Overview
Orbis Systems LLC ("Orbis," "we," "us") builds point-of-sale and business-management software for independent retailers and wholesalers. This policy explains what we collect, why, and the choices you have. We wrote it in plain language on purpose — if anything is unclear, email us and a person will answer.
This policy covers the Orbis register, the owner dashboard, and orbismerchant.com. It does not cover the separate privacy practices of payment networks or partners we name below.
Information we collect
We collect only what we need to run your store and support you:
- Account & business details — your name, store name, address, email, and phone, provided when you sign up.
- Transaction records — items, amounts, tax, and payment method for each sale, so your dashboard and reports work.
- Device & usage data — register and browser diagnostics that help us keep the system fast and fix problems.
- Support conversations — messages and calls you send us, kept so we can follow up.
How we use it
We use your information to operate the register and dashboard, process payments, generate your reports, provide multilingual support, protect against fraud and abuse, and meet our legal obligations. We do not sell your data, and we do not use your customers' information to advertise to them.
Cookies and analytics
We keep this simple: the Site uses no advertising cookies, no analytics, and no third-party tracking of any kind. We do not use cookies to profile you or follow you across the web. The only thing the Site may store is a functional preference in your own browser — if you choose a language (English, Spanish, or Arabic), we save that choice locally so the Site remembers it on your next visit. This preference stays on your device, is not a tracking cookie, and is never shared with anyone. You can clear it at any time through your browser settings.
Payment & card data
Card payments are processed by Stripe. Full card numbers are handled directly by Stripe's PCI-DSS-certified systems and are never stored on your Orbis register or on our servers. We retain only the limited transaction metadata needed for receipts, refunds, and reporting — such as the last four digits, card brand, and amount.
Text Messaging and Mobile Data
Mobile phone numbers and opt-in consent collected for the purpose of sending text-message receipts are used solely to deliver the receipt you requested. This information is never shared with or sold to third parties or affiliates, and is never used for marketing or promotional purposes.
A customer opts in at checkout by selecting "Text" and entering a mobile number on the payment screen. We send one message per receipt requested. Message and data rates may apply. Reply STOP to opt out or HELP for help. See our SMS Program for full details.
How we share it
We share information only with service providers that make Orbis work — for example Stripe for payments, and, when you connect them, QuickBooks for accounting or Meta for advertising you choose to run. We may disclose information if required by law or to protect the safety and rights of merchants and their customers. We never sell personal information.
Your choices
- Access, correct, or export your account and business data from settings, or by emailing us.
- Ask us to delete your account data, subject to records we must keep by law.
- Disconnect any integration (QuickBooks, Meta, and others) at any time.
- Opt out of texted receipts by replying STOP.
Data retention
We keep transaction and tax records for as long as you have an account and for the period required by applicable tax and financial-recordkeeping law. When you close your account, we delete or de-identify the rest within a reasonable period unless we are required to retain it.
Security
Data is encrypted in transit and at rest. Access to production systems is limited and logged, and the register keeps working offline, storing sales locally and syncing securely when the connection returns. No system is perfectly secure, but we work to protect your store's information as if it were our own.
Changes
We'll update this policy as the product changes and post the new date at the top. If a change is significant, we'll tell you in the dashboard or by email before it takes effect.
